Workplace ergonomics training - how to set up your workstation for better comfort?
A good office chair is a great start. But the chair itself is not enough if we do not know how to adjust it. Workplace ergonomics is a combination of several elements: the right equipment, correct settings, good habits and awareness of your own body. Only then can the workstation truly support comfort, focus and health.
Workplace ergonomics
In many offices, the problem is not that employees have bad chairs. Very often they have quite good models, but they use them like ordinary kitchen chairs. They do not adjust lumbar support, they do not set the armrests properly, they sit too low or too far from the desk. The result? Back pain, neck tension, fatigue and lower comfort at work.
That is why workplace ergonomics training can be very practical support for the team. A short explanation of how the chair works, how to set up the desk and how to take breaks from sitting can really improve everyday office life.
Why is workplace ergonomics important?
Workstation ergonomics has a direct impact on how we feel after a few hours at the computer. If we sit in a poor position, the body starts to feel it quickly. First, there is light tension. Later, back pain, neck pain, wrist pain or headaches may appear. Over time, even a good workstation can become uncomfortable if we use it in the wrong way.
Good ergonomics at the workstation helps reduce overload. It does not mean that we can sit without moving for 8 hours a day, but it gives us better working conditions. The body has stable support, and the screen is at the right height. The arms are not hanging in the air, and the feet rest comfortably on the floor.
For the employer, workplace ergonomics is also a real benefit. Employees who feel comfortable at their desks can focus more easily. They complain less about discomfort and return to tasks faster after a break. A properly adjusted workstation is not just a "nice extra". It is part of a well-designed office.
What affects workstation ergonomics?
Several things affect ergonomics at the same time. The first one is a good chair. It should have a stable base, proper back support, adjustable height, and ideally also seat depth adjustment, armrest adjustment and lumbar support adjustment. If you are currently choosing a model for the office or home office, it is worth reading our guide:how to choose good office chair.
The second thing is the correct chair setup. Even a very good office chair will not do its job if we sit too low, too far from the desk or do not use the available adjustments. The chair should support the body, not force tension.
The third element is desk height. If the desk is too high, we raise our shoulders and overload the neck. If it is too low, we bend forward and lean over the keyboard. Height-adjustable desks are a good solution because they allow users to switch between sitting and standing.
The important thing is alsothe way we sit and take breaks from work. Even the best chair will not replace movement. Working for many days for 8−10 hours without leaving the desk can lead to problems not only with the spine. It can also affect circulation, muscle tension, headaches and general fatigue.
It is worth introducing simple habits:
stand up every 1-2 hours
walk around the office
stretch your back, shoulders and neck
do a few squats, bends or jumping jacks
look away from the monitor for a moment
It sounds simple, but it works. Especially for people who do not move much during the day: they sit a lot, commute by car and spend evenings on the sofa.
TENGO Design Advisors Explain How to Use Office Equipment
When you buy a chair at Tengo Design, you do not receive only the product. We can show you how the chosen model works, which adjustments are the most important and how to set up the chair for everyday work. This is important because modern office chairs often have many functions. Adjustable armrests, lumbar support, a synchronous mechanism, tilt tension adjustment or seat depth adjustment can significantly improve comfort. But you need to know how to use them.
For one person, seat height adjustment will be the most important. For another, seat depth or armrest position will matter more. Very tall, short or slim users may need slightly different settings than a person with a standard body type. This is why workplace ergonomics consultations are so useful. They help turn the chair’s features into real comfort for the user. Instead of guessing, the employee immediately knows what to adjust and why.
Workplace ergonomics training for teams
When we deliver workplace equipment, we can prepare a short workplace ergonomics training session for employees. Such a meeting does not have to be long or complicated. The most important thing is that it is practical.
During the training, we explain how to:
set the chair height
use lumbar support
adjust the armrests
match the desk height to the user’s height
position the monitor and keyboard
take short breaks from sitting work
even place a desk lamp correctly
A similar consultation can also be carried out in an office that we did not equip. This is a separate service for companies that want to improve the comfort of their current workstations.
If the available equipment does not have the right adjustments, achieving a fully correct working position may not be possible. Sometimes the training shows not only how to use the current furniture better, but also which elements should be replaced in the future.
